General Onboarding Procedure

When requesting AI services for University-affiliated deployments, follow this streamlined process. It ensures that your use case is thoroughly evaluated and resources are provisioned appropriately. AI requests will undergo the following process:

1. Submit a request for AI Services

  1. Evaluate your team’s needs, distinctly define use case, and choose suitable AI models.
  2. Email OITCloud@utdallas.edu for consultation, if needed, to discuss any technical requirements.
  3. Complete the AI Request Form with info on the use case, sponsor, cost center, and fiscal officer.
  4. Fiscal officer reviews and approves.
  5. The form is returned to ECIS for review.

2. ECIS Engineer Evaluation with Requestor

  • Engineers evaluate and approve based upon:
    • Data use compliance
    • Privacy considerations
    • Publishing feasibility
    • Enrollment requests
  • ECIS provisions either Azure or AWS Subscription

3. Cost Considerations

  • Some AI tools and queries incur costs.
  • Users may be limited by quotas for API calls or token ingestion.
  • Billed monthly to the stated cost center for charges consumed the previous month.
  • ECIS sends email alerts at 80% and 100% of the estimated budget.
  • No automatic shutdown for over-budget accounts.
